Truveta services privacy notice

Truveta Inc. (“Truveta,” “we,” or “us”) is committed to respecting your privacy. This Privacy Notice (“Notice”) describes how we collect, use, or otherwise process personal information concerning your use of Truveta Studio (web-based access), the Truveta mobile application (the “Mobile App”), and Truveta’s research assistant powered by generative AI (together, “Truveta Services”).
Security of personal information
We take reasonable and appropriate steps to help protect personal information from unauthorized access, use, disclosure, alteration, and destruction.
To help us protect personal information, we request that you access the Truveta services using the single sign-on (“SSO”) credentials issued by your organization and comply with your organization’s security policies when doing so. If you use a password with any Truveta Services, you should use a strong password and not share it with anyone.
Personal information we collect
The personal information we collect depends on how you interact with Truveta Services and the choices you make.
We collect information about you in various ways when you use Truveta Services, including information you provide directly, information collected automatically (such as your IP address), and data we infer or generate from other data.
Information you or your organization provides directly. We collect personal information you or your organization provides to us. For example:
- Name and contact information. We collect name, username, the organization you work for and your email address.
- Profile information. If you choose to create a profile visible to other users in the Truveta Studio researcher directory, we will collect the information you provide, such as your area of expertise and a photo of you. Profile photos are used only within the Truveta Services and we do not otherwise access your device’s photo library.
- Demographic data. In some cases, such as when you register or participate in surveys, we request that you provide additional demographic details such as your title or area of research. We may also request additional information about your role, research focus, or areas of investigation to support personalization of Truveta Services.
- Communications content. If you communicate with us or with other researchers via Truveta Services, we retain those communications.
- AI assistant prompts, responses, and feedback. If you use Truveta’s AI assistant, we collect the text prompts and questions you submit, the responses generated by the AI assistant, and any feedback you provide on those responses (for example, thumbs up/down or written comments). The AI assistant may also store your chat history (per user per study) so that you can review and continue prior conversations within that study. Different users in the same study cannot access each other’s chat history.
Information we collect automatically. When you use Truveta Services, we collect some information automatically. For example:
- Identifiers and device information. When you use Truveta Services, our servers automatically log your Internet Protocol (IP) address and information about your device, including device identifiers (such as MAC address); device type; and your device’s operating system, browser, or Mobile App version, and other software including type, version, language, settings, and configuration. We may also collect certain user- or device-level identifiers needed to operate, secure, and improve the Truveta Services, but we do not use device advertising identifiers to track you across unaffiliated third-party apps or websites for advertising purposes.
- Geolocation data. We may collect geolocation data about you when you use Truveta Services, for example by inferring a general location (such as city, state, and country) from your IP address. We do not access your device’s precise or coarse GPS-based location via mobile operating system location services.
- Usage data. We automatically log your activity on Truveta Services such as when you log in and log out, the features you use, certain actions you take within the web interface or Mobile App (for example, app launches and taps), the search queries you enter, and the data you access.
- Diagnostics and performance data. Depending on your device settings, we may receive crash logs, performance information (such as app launch time, error rates, or resource usage), and other technical diagnostics. This information helps us troubleshoot, maintain, and improve the security and performance of the services.
- Biometric login (Mobile App). Where enabled on your device, you may choose to use device-level biometric authentication (such as Face ID or Touch ID) to unlock or access the Mobile App. In that case, the Mobile App uses your device’s native authentication APIs to confirm that a successful biometric match occurred. Truveta does not receive or store your underlying biometric template or raw biometric data; those remain managed by your device’s operating system.
Information we create or generate. We infer new information from other data we collect, including using automated means to generate information about your likely preferences or other characteristics. For example, we may infer your general geographic location (such as city, state, and country) based on your IP address. We may also infer information about your professional interests or areas of focus based on your interactions with Truveta Services, such as the questions you ask, features you use, or materials you access, to help personalize your experience. We may also generate de-identified or aggregated statistics about how users interact with our AI assistant to help us improve its performance and reliability.
When you are asked to provide personal information, you may decline. But if you choose not to provide information that is necessary to create your account or for Truveta Services to operate, you may not be able to use it.
Our use of personal information
We use each of the categories of personal information we collect for the purposes described in this Notice or otherwise disclosed to you. For example, we use personal information for the following purposes:
- Product and service delivery. To provide and deliver Truveta Services, including troubleshooting, improving, and personalizing it.
- Business operations. To operate our business, such as billing, accounting, improving our internal operations, securing our systems, detecting fraudulent or illegal activity, enforcing our agreements and policies, and meeting our legal obligations.
- Product improvement, development, and research. To improve Truveta Services, develop new services or features, and conduct research, including by using de-identified or aggregated interaction data where feasible.
- Name and Profile display. To display to other researchers on Truveta Services your association with any studies or other materials that you or your organization contributes to Truveta Services and your profile information (if you provided it).
- Personalization. To understand you and your preferences to enhance your experience using Truveta Services.
- Customer support. To provide customer support and respond to your questions.
- Communications. To send you information relevant to your use of Truveta Services, such as technical notices, administrative messages, or event invitations.
- AI assistant operation and quality. To operate Truveta’s AI assistant, provide responses to your prompts, and evaluate and improve its performance and reliability.
We combine data we collect for these purposes and to give you a more seamless, consistent, and personalized experience.
If you access Truveta Services through an account provided by your organization, your organization may access and process your personal information and all of your interactions with Truveta Services.
Our sharing of personal information
We share personal information with your consent or as necessary to complete your transactions or provide the services you have requested or authorized. In addition, we share each of the categories of personal information described above, with the types of third parties described below, for the following business purposes:
- Service providers. We share personal information with vendors or agents working on our behalf for the purposes described in this Notice. For example, we may hire companies to provide customer service support or assist in protecting and securing our systems that need access to personal information to provide those functions.
- Other Researchers. As described above, we will display your name and the name of your organization in connection with with any studies or other materials that you or your organization contributes to Truveta Services. If you choose to create a profile, your profile information will be made available to other researchers on Truveta Services as well.
- Corporate transactions. We may disclose personal information as part of a corporate transaction or proceeding such as a merger, financing, acquisition, bankruptcy, dissolution, or a transfer, divestiture, or sale of all or a portion of our business or assets.
- Legal and law enforcement. We will access, disclose, and preserve personal information when we believe that doing so is necessary to comply with applicable law or respond to valid legal process, including from law enforcement or other government agencies.
- Security, safety, and protecting rights. We will disclose personal information if we believe it is necessary to:

- Protect our customers and others, for example to prevent spam or attempts to commit fraud, or to help prevent the loss of life or serious injury of anyone;
- Operate and maintain the security of Truveta Services, including to prevent or stop an attack on our computer systems or networks; or
- Protect the rights or property or ourselves or others, including enforcing our agreements, terms, and policies.

Choice and control of personal information
If you wish to access, correct, or delete personal information about you that we hold, you may access your account by logging into Truveta Studio. Some settings related to the Mobile App (such as notifications or diagnostic sharing) can also be managed through your device settings. If you are unable to access certain personal information we have via your account, you can request access by contacting us as described at the bottom of this Notice. However, to the extent permitted by applicable law, we reserve the right to decline requests that are unreasonable or excessive, where providing the data would be prohibited by law or could adversely affect the privacy or other rights of another person, where deleting data would interfere with a legal or business obligation that requires retention of the data, or where we are unable to authenticate you as the person to whom the data relates. You may edit any profile information you provide.
European data protection rights
If the processing of personal information about you is subject to European Union data protection law, you have certain rights with respect to that data:
- You can request access to, and rectification or erasure of, personal information;
- If any automated processing of personal information is based on your consent or a contract with you, you have a right to transfer or receive a copy of the personal information in a usable and portable format;
- If the processing of personal information is based on your consent, you can withdraw consent at any time for future processing;
- You can to object to, or obtain a restriction of, the processing of personal information under certain circumstances; and
- For residents of France, you can send us specific instructions regarding the use of your data after your death.
To make such requests, please use the contact information at the bottom of this Notice. You also have the right to lodge a complaint with a supervisory authority, but we encourage you to first contact us with any questions or concerns.
We rely on different lawful bases for collecting and processing personal information about you, for example, with your consent and/or as necessary to provide the services you use, operate our business, meet our contractual and legal obligations, protect the security of our systems and our customers, or fulfil other legitimate interests.
California privacy rights
If you are a California resident and the processing of personal information about you through the Truveta Services is subject to the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (“CPRA”), you have certain rights with respect to that information, subject to applicable exceptions.
Right to Know. You have a right to request that we disclose to you the personal information we have collected about you. You also have a right to request additional information about our collection, use, disclosure, or sale of such personal information. Note that we have provided much of this information in this Notice.
Right to Request Deletion. You also have a right to request that we delete personal information under certain circumstances, subject to a number of exceptions.
Right to correct. You have the right to request that we correct inaccurate personal information that we maintain about you.
Right to non-discrimination. You have the right not to receive discriminatory treatment for exercising any of your rights under California law. We will not deny you goods or services, charge you different prices or rates, or provide a different level or quality of services solely because you exercised your rights under the CCPA.
Right to Opt-Out. We do not “sell” your personal information as defined by the CCPA and never have. We also do not “share” your personal information for cross-context behavioral advertising as those terms are defined under California law. Nevertheless, we are required to inform you that the CCPA gives you the right to opt-out from the sale/sharing of personal information.
To make a “request to know” or a request to delete, you may contact us as indicated at the bottom of this Notice. To provide or delete specific pieces of personal information we will need to verify your identity to the degree of certainty required by law. We will verify your request by asking you to send it from the email address associated with your account or requiring you to provide information necessary to verify your account.
You may also designate, in writing or through a power of attorney, an authorized agent to make requests on your behalf to exercise your rights under the CCPA. Before accepting such a request from an agent, we will require the agent to provide proof you have authorized it to act on your behalf, and we may need you to verify your identity directly with us.
Finally, you have a right to receive notice of our practices at or before collection of personal information, and you have a right to not be discriminated against for exercising these rights set out in the CCPA.
Retention of personal information
We retain personal information for as long as necessary to operate Truveta Services, fulfill your transactions, comply with our legal obligations, resolve disputes, enforce our agreements, and other legitimate and lawful business purposes.
Location of personal information
The personal information we collect is stored and processed in the United States. We take steps designed to ensure that the data we collect under this Notice is processed and protected according to the provisions of this Notice and applicable law wherever the data is located.
Changes to this privacy notice
We will update this Notice when necessary to reflect changes in Truveta Services, how we use personal information, or the applicable law. When we post changes to the Notice, we will revise the “Last Updated” date at the top of the Notice. If we make material changes to the Notice, we will provide notice or obtain consent regarding such changes as may be required by law. The latest version of this notice can be accessed in Truveta Studio via Help and, where applicable, from the Mobile App.
